1. Who we are

Community Closet is a program of One Foot Forward Inc., a nonprofit organization based in Napa, California, providing free clothing to individuals and families in Napa and Solano County. This policy explains how we handle personal information collected through our website, appointment booking calendar, partner referral form, and related communications.

2. Information we collect

We collect information directly from you or from a referring case manager or agency acting on your behalf, including:

  • Name, phone number, and email address, when you book a pickup appointment or a referral is submitted for you
  • Gender/age group and clothing size information (top, bottom, and shoe sizes), so our staff can prepare the right items ahead of your visit
  • Any additional notes provided by you or a referring agency to help us serve you
  • Basic website usage information collected automatically, such as browser type and pages visited, for site functionality

We do not require proof of income, immigration status, or identification to receive clothing at our regular open hours. Information above is collected only when you choose to book an appointment or when a referral is submitted.

3. Text message (SMS) consent

If you provide a mobile phone number and opt in, we may send you text messages related to your appointment, such as confirmations and pickup reminders. We do not send marketing or promotional text messages unless you separately opt in to receive them.

  • Message frequency varies depending on your appointment activity.
  • Message and data rates may apply based on your mobile carrier plan.
  • Reply STOP at any time to opt out of text messages, or HELP for assistance.
  • Consent to receive text messages is never required in order to receive free clothing or services from Community Closet.
Mobile phone numbers and consent records are not shared with third parties for their own marketing purposes.

4. How we use your information

We use the information we collect to:

  • Schedule and manage clothing pickup appointments
  • Prepare appropriately sized items ahead of your visit
  • Send appointment confirmations, reminders, and pickup-ready notices by email or text (if you've opted in)
  • Coordinate with partner agencies on client referrals
  • Understand overall demand so we can plan inventory and events
  • Respond to questions you send us directly

We do not sell your personal information, and we do not use it for advertising by outside companies.

5. Who we share information with

We use a third-party scheduling and forms platform (GoHighLevel / LeadConnector) to operate our booking calendar and referral forms. This provider processes information on our behalf and does not use it for its own purposes. We may also share limited information with:

  • Community Closet staff and volunteers who need it to prepare for your visit
  • A referring case manager or agency, if they submitted a referral on your behalf

We do not share your personal information with other organizations for marketing purposes, and we do not sell personal information.

6. Information about children

Our referral form and booking process may include sizing information for children, submitted by a parent, guardian, or referring case manager on the family's behalf. We do not knowingly collect personal information directly from children, and our forms are intended to be completed by an adult.

7. How long we keep information

We retain appointment and referral information for as long as reasonably needed to operate our program, such as tracking inventory needs and appointment history, and we periodically remove information that is no longer needed.

8. Your choices and rights

You can ask us to:

  • Tell you what information we have on file about you
  • Correct inaccurate information
  • Delete your information, where we are not required to keep it
  • Stop receiving text messages (reply STOP) or emails (use the unsubscribe link, or contact us)

We take reasonable steps to protect the information we collect, including limiting staff access to what's needed to operate the program. No online system is completely secure, and we encourage you to reach out if you ever have concerns about how your information has been handled.

1. Acceptance of terms

By using our website, booking an appointment, submitting a referral, or visiting Community Closet in person, you agree to these Terms of Service. If you do not agree, please do not use our booking system or forms — you're always welcome to visit us in person during open hours instead.

2. Our services

Community Closet provides free clothing to individuals and families in Napa and Solano County. There is no cost, no income verification, and no obligation to give anything in return. Availability of specific items, sizes, or categories of clothing is not guaranteed and depends on current donations and inventory.

3. Appointments and booking

Our appointment calendar is open for self-serve booking by anyone. Booking an appointment does not create any binding obligation on either side beyond scheduling a time to visit. We ask that you cancel or reschedule if you're unable to make it, so that time slot can be offered to someone else. Providing accurate size and gender/age group information helps us prepare appropriately, but is provided on a best-effort basis and does not guarantee a particular item will be available.

4. Partner agency referrals

Case managers and partner agencies submitting a referral on behalf of a client are responsible for having appropriate authorization to share that client's information with us, including contact details and sizing information. By submitting a referral, the submitting agency confirms it has a lawful basis to share this information for the purpose of coordinating clothing assistance.

5. Donated goods are provided "as is"

All clothing distributed by Community Closet consists of donated, secondhand items and is provided free of charge, "as is," without any warranty of condition, fitness for a particular purpose, or merchantability. We inspect items for basic wearability before making them available, but we cannot guarantee the condition, safety, or suitability of any specific item for any specific use.

6. Volunteers

Volunteers who sign up to help with Community Closet agree to follow the direction of program staff and any applicable safety guidance while volunteering. Additional volunteer-specific terms or waivers may be provided separately at the time of sign-up.

7. Website use

Our website and booking tools are provided to help you access our services. Please do not use our forms or booking calendar to submit false information, to book appointments you don't intend to keep in bad faith, or to interfere with the site's normal operation.

8. Limitation of liability

To the fullest extent permitted by law, One Foot Forward Inc. and Community Closet are not liable for any indirect, incidental, or consequential damages arising from your use of our website, booking system, forms, or donated clothing, including damages related to the condition of secondhand items.

9. Governing law

These terms are governed by the laws of the State of California, without regard to conflict-of-law principles.

10. Changes to these terms

We may revise these Terms of Service from time to time as our program evolves. The "last updated" date at the top of this page reflects the most recent revision. Continued use of our services after changes are posted means you accept the updated terms.
